Q: As a supervisor, will I receive a notification regarding employees in my department that are celebrating service anniversaries?
A: Supervisors for employees celebrating a service anniversary will receive an email notification approximately two months prior to the employee’s service anniversary month. Supervisors are asked to verify the mailing address for the supervisor packet and pin which is to be presented to the employee. Instructions for making revisions to the address, if necessary, will be provided in the email notification. If the employee has moved to a new department or has recently retired, please provide as much information as possible.
Also, 10 days prior to the employee’s actual service date, the supervisor will receive an email reminder.

Q: I have not received the supervisor packet for an employee whose anniversary date has passed.
A: Provide the supervisor with the supervisor packet ship date and address to which it was sent. Confirm with the supervisor that the address is correct or make necessary changes. Notify the supervisor that a new packet will be sent based on the schedule below:
If the anniversary date is:
- 10 + days away from the date the supervisor calls -- the packets is to be reshipped via U.S. Postal Mail (verify address, room, floor, mailcode, etc.), or
- 4-10 days away from the date the supervisor calls – the packet is to be reshipped via UPS ground, or
- 3-4 days away from the date the supervisor calls – the packet is to be reshipped via UPS 2 day delivery, or
- Less than 3 days away – the packet is to be reshipped via UPS overnight delivery.

Q: When should I expect my Award Brochure that will allow me to select a gift?
A: Approximately one month before the anniversary month, the employee will receive a notification, with instructions on how to select an award.
Eligible management employees will receive this notification via e-mail.
Associates {and non-bargained for hourly employees} will receive their notification package at the home address on record.

Q: When should I expect my Retirement Brochure that will allow me to select a retirement gift?
A: The retirement notification package will be sent to the retiree at the home address on record approximately 6 – 8 weeks after the employee’s retirement date.

Q: I RIF retired am I still eligible for a Retirement gift?
A: RIF Retirees that are pension eligible and retired from a participating business unit are eligible for a retirement gift. RIF retirees notifications are typically sent out once their off payroll, this may take up to 6 months.

Q: Am I eligible for a service award and/or a luncheon?
A: Employees celebrating an anniversary of:
- 5 or 10 years may select a:
Commemorative gift from the gift selection OR
A luncheon and may invite up to 4 guests (maximum reimbursement $80, including tax and tip)
- 15 or 20 years may select a:
Commemorative gift from the gift selection OR
A luncheon and may invite up to 5 guests (maximum reimbursement $100, including tax and tip)
- 25 years or more (every 5 years) are entitled to a:
Commemorative gift from the gift selection AND
A luncheon and may invite up to 6 guests (maximum reimbursement $125, including tax and tip)

Q: Deadlines for luncheons.
A:
Service Award Luncheons:
Service anniversary luncheons should be scheduled during the calendar month in which the anniversary occurs, or as soon thereafter as possible. Employees have one year from the service anniversary date to take the luncheon and submit the receipt for reimbursement, or it will be forfeited. (Restaurant receipts for separating employees should be submitted as soon as possible; no later than 90 days after his/her last day on the active payroll, or it will be forfeited. If the employee was terminated for misconduct or unsatisfactory job performance, the luncheon is forfeited.)
Retirement Luncheons:
There is a $150.00 maximum reimbursement, which includes tax and tip, for the retirement luncheon. Grocery store receipts are not acceptable. The luncheon or open house should be planned for the employee’s last day of work before retirement, or as close to the last day of work as possible. It should be scheduled no earlier than the first day of the calendar month in which the employee is retiring.
If the employee cannot take the luncheon before his/her last day on the payroll due to the needs of the business or extenuating circumstances, the employee will have 90 days from his/her retirement date to take the luncheon and submit the restaurant receipt to the previous supervisor for reimbursement, or it will be forfeited. (If the employee was retirement eligible but was terminated for misconduct or unsatisfactory job performance, the luncheon/open house is forfeited.).
Reimbursement Process:
- Send the detailed restaurant receipt along with the luncheon card to your previous supervisor
- The previous supervisor will request reimbursement through the Accounts Payable Expense and Reimbursement process.
- Please retain a copy of your receipt and luncheon card for your records.

Q: How do I get reimbursed for the luncheon?
A: Service and retirement luncheons should be charged to the corporate charge card when possible. However, cash or a personal credit card made be used if the employee does not have a corporate charge card.
Employees, who select a service anniversary or retirement luncheon, should submit the restaurant receipt and the names of the guests with the expense voucher for reimbursement. If the acknowledged individual is no longer an employee, at the time of reimbursement the method of payment is by vendor voucher and must be submitted within 90 days . For additional instructions regarding reimbursement, please refer to the Verizon Expense and Reimbursement Policy .

A: Most awards are shipped within 4-6 weeks from the date of order receipt and are delivered via ground method using a common freight carrier or USPS. You may view the status of your order by logging into the website at any time.

Q: How do I cancel or make a change to my order?
A: Once you log in to the website, you will be directed to the order status page. If your order has not been processed, you can change your gift selection.

Q: Can I change my shipping address?
A: Shipping addresses can be changed up to the day your order is processed. If you would like to change the shipping address, please log in to the website and change your order or call the Verizon Service Award Center Customer Support at 1-866-419-5222. Q: How can I check on the status of my order?
A: If you provide your email address when placing your order, a confirmation email will be sent once your order has been shipped. Whether you placed your order over the Internet or by phone, you can check the status online 24 hours after the order was placed. You may check the status of your order by logging in to the website. You will automatically be directed to the shipment status screen. If you do not see your order please call the Verizon Service Award Center at 1-866-419-5222.

Q: How frequently do the award selections change?
A: Products can be ordered while supplies last. Because products are reviewed and in some cases replaced quarterly, make your selection timely to ensure availability.

A: Backorder notifications are sent weekly on Friday to the employee’s email address if available. Otherwise, the employee is notified by telephone.

Q: Will I be notified if the item I selected is not going to be shipped within the 4 week time frame?
A: Late shipment notifications are sent if the item selected is not been shipped within 25 days of order placement. Notifications are sent to the employee’s email address if available. Otherwise, the employee is notified by telephone.

Q: What if the item I order is discontinued prior to shipment?
A: If the item selected is discontinued, a notification will be sent to the employee’s email address if available. Otherwise, the employee is notified by telephone. Notifications are sent weekly on Friday. Once a replacement product has been determined the employee will be notified of the replacement.

Q: How can I return or exchange my award?
A: To obtain a return authorization (RA) number, please log in to the website and follow the online instructions. You may also contact the Verizon Service Award Center at 1-866-419-5222. The RA number must be clearly marked on the outside of the return package. The Verizon Service Award Center will assume all expenses and issue Return Shipping Labels for the return and replacement of any product found to be either defective within 30 days of shipment or merchandise damaged in transit within 7 days of delivery.
Replacement merchandise may ship only upon receipt of the original item. If you would like to return your item after 30 days, please follow instructions as per the manufacturer’s warranty included with the item.

Q: Can I return or exchange an item that is engraved?
A: Products that have been engraved may not be returned for credit or exchange under this warranty. Items that are damaged or defective will be covered by warranty. Engraving errors made by the Verizon Service Award Center will be replaced. To obtain a return authorization (RA) number, please contact the Verizon Service Award Center at 1-866-419-5222. The Verizon Service Award Center RA number must be clearly marked on the outside of the return package.

Q: What should I do if my award is received damaged?
A: Shipments that have been damaged in transit should be refused at the time of delivery. If a damaged package is accepted, it should be kept in its original shipping carton and the Verizon Service Award Center should be contacted at 1-866-419-5222 within 7 days of delivery. Damaged items will require a claim to be placed with the freight carrier by the Verizon Service Award Center within 11 days. In the interim, a replacement order will be submitted.
